Digitization fails when schools try to change every process on day one. Successful rollouts pick high-pain workflows first — usually fees and admission — then expand to attendance, exams and parent communication.
Phase 1 — Master data and admission
Import students, classes, fee structures and staff roles. Run the next admission cycle on software even if older processes still exist for legacy records.
Phase 2 — Fees and parent portal
Turn on online collection for at least one fee head. Train parents with a simple portal guide sent by WhatsApp or email.
Phase 3 — Academics and reports
Move attendance and exam marks entry class by class. Principals get dashboards and exports only after data quality is stable — otherwise reports create distrust.
